Privacy Notice

This Privacy Notice explains how Teach Edge Software Ltd collects, uses, shares and protects personal information when people visit the TeachEdge website, use the TeachEdge application, arrange a demonstration, start a trial, purchase a subscription or contact us.

TeachEdge complies with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Teach Edge Software Ltd is registered with the Information Commissioner’s Office under registration reference ZB826115.

1. Who we are

TeachEdge provides AI-assisted assessment, marking, feedback, question-generation, scaffolding, tutoring and related educational tools.

TeachEdge has not formally appointed a Data Protection Officer. Privacy and data-protection enquiries should be sent to info@teachedge.ai.

2. When TeachEdge is a controller or processor

Our data-protection role depends on how TeachEdge is being used.

School-managed use

When a school provides or manages TeachEdge accounts for its teachers or students, the school will normally be the data controller and Teach Edge Software Ltd will act as its data processor.

The school decides why student and teacher information is used and the lawful basis for doing so. TeachEdge processes that information on the school’s documented instructions to provide the service.

TeachEdge can provide schools with a Data Processing Agreement on request.

Independent use

Teach Edge Software Ltd acts as the data controller when it processes information relating to:

• independent accounts;
• subscriptions and payments;
• trial users;
• enquiries, support requests and demo bookings;
• website visitors;
• business administration; and
• marketing communications sent to teachers and other adult users.

A student under 18 may hold an independent TeachEdge account. Independent users under 13 must have permission from a parent or guardian.

3. Information we collect

The information collected depends on how TeachEdge is used.

Account and identity information

This may include:

• name, pseudonym or initials;
• email address and account identifiers;
• school, department, class and role;
• login and authentication information; and
• information received from Google or Microsoft when those services are used to sign in.

Schools may create accounts using pseudonyms or initials where appropriate. When Google or Microsoft sign-in is used, the name and email address associated with that account may be supplied by Google or Microsoft.

TeachEdge uses Google and Microsoft only to authenticate users. We do not use this sign-in connection to access Google Classroom, Microsoft Teams, email, contacts, Google Drive or OneDrive.

Educational and assessment information

This may include:

• questions and task instructions;
• supporting resources and source material;
• typed or handwritten student responses;
• uploaded images and PDF documents;
• extracted or transcribed text;
• marks, feedback and assessment-criteria breakdowns;
• teacher comments and edits;
• student progress and performance information;
• tutoring conversations and summaries;
• information generated through the Question Generator, Scaffolder and other teaching tools; and
• comments, corrections, ratings and suggested changes submitted through the “Improve the Marking & Feedback” feature.

Service and technical information

This may include:

• features used and actions taken;
• credit use and transaction records;
• dates and times of activity;
• browser, device and general connection information;
• IP addresses and online identifiers;
• authentication, security and operational records;
• error information; and
• communications relating to support or troubleshooting.

Enquiries, communications and bookings

If you contact us or arrange a demonstration, we may collect:

• your name and contact details;
• your school or organisation;
• the contents of your enquiry;
• demo-booking information;
• support correspondence; and
• your communication and marketing preferences.

Subscription and payment information

We retain subscription, invoice and transaction information needed to administer purchases and meet our accounting and legal obligations.

Payments are processed by Stripe. TeachEdge does not store complete payment-card numbers or card security codes.

4. How we obtain information

We receive personal information:

• directly from users when they register, use TeachEdge, submit work or contact us;
• from schools when they create or manage accounts, classes and assignments;
• from teachers when they upload or enter assessment material;
• from Google or Microsoft when a user chooses one of those sign-in methods;
• from Stripe in connection with subscriptions and payments;
• through website and application analytics; and
• automatically through the operation, security and administration of the service.

5. How we use information

We use personal information to:

• create, authenticate and administer accounts;
• provide marking, feedback, question-generation, scaffolding and tutoring tools;
• process questions, responses, resources and uploaded work;
• produce marks, feedback, transcriptions, summaries and progress information;
• allow teachers to manage classes, assignments and student submissions;
• allow teachers to review, edit and release feedback;
• administer subscriptions, credits and payments;
• respond to enquiries and provide support;
• arrange demonstrations;
• send account, service and security messages;
• detect misuse and protect the security and reliability of the service;
• diagnose faults and improve TeachEdge;
• understand how our website and application are used;
• meet legal, regulatory, accounting and contractual obligations; and
• send relevant product and feature updates to teachers and other adult users.

We do not sell personal information or share it with third parties for their own advertising purposes.

6. Our lawful bases

Where Teach Edge Software Ltd acts as a data controller, we rely on one or more of the following lawful bases:

Contract

We process information when necessary to provide an account, subscription or service requested by a user.

Legitimate interests

We may process information where necessary for our legitimate interests in:

• operating and improving TeachEdge;
• supporting users;
• maintaining security and preventing misuse;
• administering our relationship with schools and users;
• understanding use of the website and application; and
• sending proportionate and relevant feature updates to teachers and adult trial users.

We consider these interests against the rights and reasonable expectations of the people whose information is involved.

Legal obligations

We process and retain information where necessary to comply with legal, tax, accounting, regulatory or safeguarding obligations.

Consent

We rely on consent where it is specifically requested. Consent may be withdrawn at any time, although this does not affect processing that took place before it was withdrawn.

Where TeachEdge acts as a processor for a school, the school is responsible for identifying the lawful basis for its processing. TeachEdge acts on the school’s instructions.

7. How we use artificial intelligence

TeachEdge uses commercial AI services to provide marking, feedback, question-generation, scaffolding, tutoring and related functions.

Depending on the tool being used, information sent for AI processing may include:

• the question;
• the student response;
• supporting material;
• task and marking instructions; and
• the generated result or information needed to complete the request.

OpenAI is used for TeachEdge’s principal AI functionality. Anthropic is used only for the Question Generator and Scaffolder.

Class Marking, Exam Script Marking and tutoring do not automatically send student first names to AI providers. Quick Mark includes an optional setting that allows a first name to be supplied.

TeachEdge uses commercial API services. Under the providers’ standard commercial arrangements, OpenAI and Anthropic do not use API inputs and outputs to train their general-purpose models by default. TeachEdge has not opted into provider model training.

TeachEdge does not use submitted student work to train third-party AI models.

When a user deliberately submits comments through the “Improve the Marking & Feedback” feature, TeachEdge may use those comments and the relevant marking and feedback context to evaluate and improve its marking instructions, rubrics, quality checks and feedback design. Using this feature is optional. This information is used to improve TeachEdge’s own service and is not supplied to OpenAI, Anthropic or another provider for training its general-purpose AI models.

We may use carefully anonymised samples internally for debugging, quality control, safety checks and improving the performance of TeachEdge. These samples are not used to identify individual users and are not supplied for third-party model training. A school or user may object to this use by contacting us.

AI-produced marks and feedback are intended to support formative assessment, practice and teacher-supported internal assessment. They are indicative and should not be treated as official exam-board decisions or final, formal high-stakes grades.

For Class Marking, manual teacher review is the default before feedback is released. A teacher may choose to enable automatic release. Schools and teachers remain responsible for deciding how TeachEdge outputs are used.

TeachEdge does not use AI to make solely automated decisions that produce legal or similarly significant effects on students.

8. Who may receive information

We use specialist service providers to operate TeachEdge. They receive only the information reasonably necessary to provide their part of the service.

These include:

• Bubble – application infrastructure, database functions and file storage;
• Vercel – application hosting and processing;
• Supabase – database and private file storage;
• Trigger.dev – background processing;
• OpenAI – AI processing;
• Anthropic – AI processing for the Question Generator and Scaffolder only;
• Stripe – payment processing;
• Loops – newsletters and feature updates for teachers and other adult users;
• SendGrid – account messages, service alerts and delivery of contact-form enquiries;
• Google and Microsoft – optional account authentication;
• Google Analytics – website and application analytics; and
• Calendly – demonstration bookings.

We may also disclose information:

• when required by law, court order or a competent authority;
• when necessary to establish, exercise or defend legal rights;
• to professional advisers where reasonably necessary; or
• to protect users, TeachEdge or others from fraud, misuse or security threats.

Only authorised personnel may access personal information for legitimate purposes such as service operation, support, troubleshooting, security and compliance with legal obligations.

9. International processing and transfers

TeachEdge uses infrastructure and service providers in several countries.

Relevant TeachEdge database and private file storage is hosted through Supabase in Frankfurt, Germany. Other providers, including Bubble, Vercel, Trigger.dev and the AI and communications providers, may process information in the United States. Content-delivery networks and provider subprocessors may also process information in other countries.

Where personal information is transferred outside the UK, we use appropriate safeguards required by UK data-protection law. Depending on the destination and provider, these may include UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to the European Commission’s Standard Contractual Clauses, and contractual and technical protections.

10. How long we keep information

TeachEdge retains account and assessment information while an account or school is using the service.

Our retention policy is to delete this information within 12 months after use ends, or earlier on request. Certain records may be retained for longer where required by law, and deleted information may remain for limited additional periods in backups and provider safety records.

Subscription, transaction and accounting records may be retained for the period required by applicable tax, company and financial-record laws.

Marketing contact information is retained while a person continues to receive updates or until they unsubscribe or object. We may retain a minimal suppression record to ensure that an unsubscribe request continues to be respected.

Information that has been irreversibly anonymised and can no longer identify a person may be retained for statistical, quality-control and service-improvement purposes.

11. Security

TeachEdge uses appropriate technical and organisational measures to protect personal information.

These measures include:

• encryption of information in transit;
• authentication and access controls;
• database privacy and permission rules;
• restricted administrative access;
• monitoring and operational safeguards;
• security features provided by our infrastructure providers; and
• backup and recovery arrangements.

No online service can guarantee absolute security. We review our safeguards and take action where we identify a security risk or suspected personal-data breach.

12. Children and students

TeachEdge is designed for use in education and may process information about children.

We aim to apply data minimisation, transparency and appropriate protections, with the best interests of children as an important consideration.

For school-managed accounts:

• the school normally decides how student information is used;
• students should contact their teacher or school if they have questions about their information;
• teachers can see relevant student work, feedback, progress information and tutoring conversations; and
• schools may use pseudonyms or initials instead of full student names where appropriate.

For independent accounts:

• Teach Edge Software Ltd acts as the controller;
• a person under 18 may create and pay for an independent account; and
• a person under 13 must have permission from a parent or guardian.

We do not send newsletters or marketing emails to student accounts.

13. Emails and communications

SendGrid is used to send account emails, service alerts and messages generated through the TeachEdge contact form.

Loops is used to send relevant newsletters and feature updates to teachers and other adult users. These communications may be sent to existing teachers and adult trial users on the basis of TeachEdge’s legitimate interest in keeping them informed about relevant service developments.

Every marketing newsletter contains an unsubscribe link. Recipients may unsubscribe or object at any time.

TeachEdge does not send marketing newsletters to students.

14. Cookies and analytics

TeachEdge uses essential cookies and similar technologies to provide account access, maintain sessions, protect security and operate the service.

We also use Google Analytics on the TeachEdge marketing website and within the application, including student-facing pages. Google Analytics loads automatically when these pages are opened.

It may collect information such as:

• pages viewed and features used;
• approximate location;
• referring pages;
• browser and device information;
• dates, times and session information; and
• IP addresses or other online identifiers.

We use this information to understand how TeachEdge is used and to improve the website and application.

Google Analytics is used for analytics only. TeachEdge does not use advertising tracking and does not use analytics information to market to students.

Users can restrict cookies through their browser settings. Google also provides a Google Analytics opt-out browser add-on.

15. Your data-protection rights

Depending on the circumstances, you may have the right to:

• be informed about how your information is used;
• obtain a copy of your personal information;
• correct inaccurate or incomplete information;
• request deletion of your information;
• request restriction of processing;
• object to processing based on legitimate interests;
• object to direct marketing;
• receive certain information in a portable electronic format;
• withdraw consent where processing is based on consent; and
• raise a concern with the Information Commissioner’s Office.

These rights are subject to the conditions and exceptions set out in data-protection law.

If your account is managed by a school, you should normally submit your request to the school because the school is the controller. TeachEdge will assist the school in responding to relevant requests.

Independent users, website visitors, trial users and business contacts may submit requests directly to info@teachedge.ai.

We may need to verify your identity before responding.

17. Changes to this notice

We may update this Privacy Notice when TeachEdge, our providers or relevant legal requirements change.

The latest version will be published on the TeachEdge website with its updated date. Where a change materially affects how personal information is used, we will take reasonable steps to bring it to the attention of affected users or schools.
